Under the supervision of Operation Manager and with general guidance of the HR, Admin, and ICT Unit, the NPSA would deliver a number of reports on his/her support to Operations Unit in validating CO’s MOSS compliance as per UNDSS directives. The consultant promotes a client, quality, and results-oriented approach.
The NPSA works in close collaboration with the Operations team, Projects Team, UNDSS and project management units to exchange information and ensure consistent quality service delivery.
SCOPE OF WORK
In line with Office Security Plan there is a need of an intermittent support services as and when required, particularly in updating security related information to ensure continued compliance with Minimum Operational Security Standards (MOSS). In the light of this capacity need, an interim arrangement is made for engaging a short-term consultant who will be expected to validate and update the CO’s security related information. This Objective will be achieved through the following outputs:
Updating Prepare, Review, reconcile and update data National, International staff members, Wardens and others for security purposes.
1. Staffing Database
Working together with HR, Procurement and Other Projects team to gather data related to staff database (staff, Consultant, Intern and UNVs) as required in the prevailing UNDP system.
All the database should be review, input and update on the UNDP Indonesia Intranet
Generate regular reports related to Staffing Database as required by UNDP (New staff onboard and nearly expired staff)
2. Business Continuation Process: Updated Communication Tree Database
In coordination with Projects Team, HR and Procurement unit to ensure UNDP has the latest Communication Tree database including all modalities including non-staff modalities, Intern, UNV and Individual Consultant
All the latest Communications Tree information should be review, input and update on the UNDP Indonesia Intranet
3. Security related information
Working closely with Security focal points / Office person in charge to update list of wardens
Collecting and prepare information data of National and International Staff member, Warden and Area Warden Data.
The latest information of Warden system should reviewed and updated on the UNDP Indonesia Intranet
The latest information of Office locations should be reviewed and updated on the UNDP Indonesia Intranet
4. Vendor List, Donors and Partners Database
Working closely with Procurement / Projects team to update list of vendors, donors and partners.

The NPSA will carry out his/her functions under the direct supervision of Operation Manager. His/her will work closely and providing assistant in update critical information related to Staff Database, Communication Tree, Wardens and Vendor list.

RECRUITMENT QUALIFICATIONS
Academic Education:
Bachelor’s degree in any field, however candidate graduate from computer science would be preferred
Experience:
No experience is required, however, candidate with experience providing support in area of Information Technology, Computer networking or application development would be preferable
Required Skills:

Good inter-personal skills.
Solid computer skills required, knowledge of spreadsheet and database packages
Solid knowledge and sill related with managing database using Microsoft Excel, conduct simple analysis and generating reports
Language:
Good communication skill in both writing and speaking in English and Bahasa Indonesia
Additional Skills and Competencies:
Experience in handling of Online application development systems would be preferable.
Familiar in UNDP/UN procedures
Experience in Sharepoint Database would be preferable.
